Vendor Information and Application

So you wanna be a part of the first ever Okanagan Coffee Fest?! Thats great! You're probably wondering what the deal is....

WE ARE ACCPTING A ROUGH MIX OF 50% ROASTERS, 25% SPECIALTY COFFEE SHOPS, AND 25% BAKERS, FOOD TRUCKS. 

It is going down October 18th, 2025 at the Laurel Packing House here in Kelowna BC. This venue is BEAUTIFUL and has hosted many similar events to this which have provided a warm and relaxed perusing environment.

This primary goal of this festival is to connect small-scale coffee companies based in BC with new customers. Specialty coffee in general is still at its grass roots and every day, new people are getting introduced to what a good cup of coffee is actually all about. We aim to get people fully immersed in this experience and open their eyes to YOU- the local producer that is carefully curating delicious coffee for whoever you aim to sell it to. This festival isn't about who has the best light roast, or the most burnt- this is about bringing ALL sorts of coffee enjoyers in your area, to help them find what suits their palates best. Maybe it is that extra roasty dark roast! Maybe that funky fruit bomb. We'll let them be the judge and leave it to you to chat them up and show what you're all about.

The festival will consist of three, 2-hour sessions capped at 200 guests. We feel this is a happy number so everyone has a chance to try as many roasters as they please, within the allotted time, and also give you some time to sell yourself to those that want to know more. Your space will consist of one 10' x 10' space that you can use as you please to set up a table, product display, branding, etc. You will be required to bring your own brewing equipment and be prepared to make a LOT of coffee. You will be provided with access to 2-120v outlets to power 1 kettle or brewer and 1 grinder. We recommend bringing the brewing water that you choose to use. We will have some backup (high quality) brewing water available for purchase in the event that people run out- please don't rely on this, but we also don't want you resorting to tap water. There will be refuse and compost bins located within reach to all vendors. Guests will be provided with a souvenir espresso cup that will be used for tasting coffees. You will be required to provide enough 1oz-2oz samples for everyone. Do your math and bring all the supplies you need to satisfy up to 600 tasters.

Table fee: $250.00 +gst

If you require any tables or any other amenities, please let us know in the form, or by email by September 1st and we will try to accommodate.

You will be allowed a total of up to 4 staff members to run your setup.

ACCEPTED APPLICANTS WILL BE NOTIFIED BY AUGUST 1ST.
